Access to venue
The hall is available for rental by arrangement with the Pukeoware Hall Inc., during the days and for evening functions. Total Hall rental includes tables and chairs.
For a Friday/Saturday Night Function, the Hall will be available from 3:00pm on the day of the function to 10:00am the following morning.
No liquor is to be sold, supplied or consumed without a Special License from the Liquor Licensing Agency.
Hire Charges
Friday or Saturday Night
- Non Rate Payers $350 (inclusive of GST) plus Bond $500
- Rate Payers $280 (Std rate less 20%) plus Bond $500
Friday and Saturday
- Non Rate Payers $525.00 plus Bond $500
- Rate Payers $420 (Std rate less 20%) plus Bond $500
Sunday -Thursday Evening
- Non Rate Payers $250 (inclusive of GST) plus Bond $500
- Rate Payers Std rate less 20% plus Bond $500
Clubs/ Sporting/other
- Supper/meeting room with tea making facility $20 for 3 hours No Bond required
- Main Hall with tea making facility $40 for 3 hours No Bond required
Hire Conditions
Deposit & Payment
A deposit of 50% of the rental, non-refundable, or at the discretion of the committee, is to be paid on confirmation of the booking.
The balance of the charges is to be paid ten days prior to the booking, with the Bond, and where applicable proof of liquor license and booking of registered security guards.
Bonds
A refundable bond will be required for most bookings. Deductions from the bond will occur if:
- venue equipment or fittings are damaged.
- extra cleaning is required
- you enter into or remain within the venue outside the booked period
- rubbish is left inside and/or outside the venue
- any other breach of these conditions has occurred, resulting in call out charges or other costs to the Hall Committee.
Hire Contract
The hirer's contract must be signed by a person 18 years of age and over and returned to the Hall Committee at least 10 days before the function date.
Note: No relationship of landlord or tenant arises between The Hall Committee and the hirer
Cancellation
The Hall Committee reserves the right to charge a cancellation fee of:
- 100 percent if cancelled within 24 hours of the function start time
- 50 percent if cancelled within 5 days of the function date
- 25 percent of the total hire charges if the hirer cancels within 5 to 10 working days of the function date.
Noise
Noise from amplifiers and loudspeakers must be kept to a moderate level at all times. Failure to comply with this condition may result in early closure of your function and/or a significant fine.
Noise levels are noted in Schedule 1 - Noise Levels.
Prohibited
- no smoking or chewing gum in any venue
- no food to be consumed on carpeted areas
- no use of confetti or glitter
- no decorations or scenery may be attached to, or hung from any part of the venue without prior approval of the Hall Committee
- no open fires, smoke machines, naked flames (this includes candles and kerosene lamps), barbecues or spits are to be used inside any facility without prior written consent of the Hall Committee. If a fire alarm is set off by the use of these items then a charge will be incurred.
- The Hirer cannot sub hire or let any or all of the Hall.
Cleaning & rubbish removal
- hirers are responsible for cleaning the venue (see Schedule 2)
- this cleaning must be done within the booked period
- hirers must supply dishwashing materials and tea towels (dishwasher with detergents supplied)
- hirers must remove all rubbish from the venue after their hire - this includes removal from the car park and adjacent grounds.
Right of refusal to hire
The Hall Committee may, at its discretion, refuse any application for hire and may cancel any booking without assigning a reason. In each case all monies paid will be returned in full.
Security
The hirer is responsible for securing the facility upon completion of the function.
Ensure:
- all lights, heaters, stoves and electrical appliances are turned off
- windows and doors are closed and locked
- alarm is set (not applicable at present)
Security guards from registered security company will be required for functions involving alcohol, socials, or at the discretion of Hall Committee. Our preferred supplier is SecuriCom, see Schedule 1 - Preferred Suppliers for contact details.
Breach of conditions
Any breach of these conditions may result in:
- forfeit of all or part of the bond
- closure of the function
- refusal to accept future bookings
- extra charges being incurred
Fire safety
Every hirer is required to be familiar with the procedure for evacuation of the Hall in case of fire, and for following instructions of the appointed fire warden.
The appointed fire warden must ensure that all means of egress are checked twice during the hire period - once on entering the hall, and once during the course of the function. In case of fire, evacuate the Hall immediately then notify the Fire Brigade by phoning 111.
Supervision of children
The Hirer is responsible for ensuring all children are supervised at all times, including in bathrooms and surrounding areas.
SCHEDULE 1
Noise Levels
- Internal noise levels do not exceed 95dBA.
- Activities involving loud amplified music must cease at midnight.
- External doors and windows closed after 7.00pm for activities involving loud amplified music.
- Vehicle movements/parking does not create a nuisance or any safety issue for local residents.

SCHEDULE 2
Cleaning
- kitchen surfaces must be wiped clean
- appliances left clean: fridge, oven, stove top, pie warmer and microwave
- tables must be wiped clean and returned to their original location
- chairs stacked and returned to storage area
- floors are to be swept and wet mopped, equipment provided
- toilets, urinals, hand basins and vanities cleaned
- hirers can elect to pay standard cleaning fee of $100.00 for floors, toilets and vanities, to be paid with balance of hire 10 days prior to the booking
- if oven not left clean $50.00 fee will apply
- if fridges not left clean $15.00 fee/fridge will apply
- hirers must remove all rubbish from the venue after their hire - this includes removal from car park and adjacent grounds.
